Navigating The RoundTable: Your Ultimate Guide
This series of videos tells you everything you need to know about the RoundTable in AllTakes.
Introduction to the RoundTable
Welcome to the RoundTable :) This video is a short introduction to the RoundTable in AllTakes.
We chose the Roundtable format because it’s the most intuitive format for people to connect with one another - kids sit in circles, adults sit at tables during board meetings; we can connect with each other intuitively and comfortably in this format.
A participant who is speaking at the Roundtable will appear in the middle. When a participant stops speaking, they will remain in the middle of the Roundtable until someone else speaks; once someone else starts speaking, that person will switch to be in the center.
Set Up Your Seat
This video goes through Expressions, Chat, Microphone and Camera, and Raising Hands at the RoundTable. We also discuss the Setup button and the different options you have for setting up your seat at the RoundTable.
Spotlight and Stage Modes
In this video, we discuss the “Spotlight” feature of the Roundtable, where you can center any member of the Roundtable in the middle of the screen. Only Business Owners and Managers have access to the spotlight feature of the roundtable.
Note: Managers can be configured in the Members section of your Offer.
The coach leading the session can “Spotlight” themselves so they remain in the center of the Roundtable, or choose other participants to spotlight. A coach can present themselves in landscape mode or spotlight other participants for a fireside chat or a panel of up to 4 people at a time. Only four participants can be spotlit at a time. These various formats can be seamlessly switched between while a coach leads a session.
When using these various formats, the Coach leading the session can utilize the different Stage Modes that are available in the bottom right or top right corner of the screen, depending on your screen size. Stage mode is customizable for every person on the call, so each person can choose the stage mode they prefer for the session. There is a small stage mode, which is recommended for the Coach to use, the Medium stage mode, which is the default once you join the Roundtable, and the large stage mode, which participants of the Roundtable can use if they would like to view the Coach leading the session in a larger format. Spotlighting is also considered a stage mode, which we discuss in the beginning of this video.
Share Screen and Share Audio
Next, we go through the Share Screen and Share Audio functionality of the Roundtable. You can share a tab on your browser through the “Share Screen” option and adjust it to be small, medium, or large through the stage modes we discussed in the previous video. You can share audio by clicking the “Share Audio” button and selecting a browser tab with a YouTube video, for example.
Breakout Rooms
This next video dives into the Rooms button in the RoundTable, and why it’s a crucial and useful tool to form community in smaller knit groups. Only the Coach or the Manager has the ability to create Breakout Rooms. You can create up to 10 rooms while in the Roundtable. You can create the room by clicking the “Add Room” button, and send members to a room by hovering your mouse over the members avatar and clicking “Send Participant to Room” and then selecting which Room to send them to. Participants can also choose a Room to go to and go to that room themselves.
When the session is over, the rooms will disappear. You will need to set up new breakout rooms for your next session and every session you have at your RoundTable.
Overflow Room
This video explores the Overflow Room functionality of the RoundTable. When there are more than 20 participants on a video session in AllTakes, all participants that exceed the 20 person limit will be sent to the Overflow Room. When you are in the RoundTable format, the Overflow Room will show at the bottom left of the toolbar, titled “Overflow Room”. You can click on the Overflow Room button to see all the participants who are in the Overflow Room, and you can easily Spotlight these participants by hovering your mouse over their image and clicking “Spotlight” to bring them out of the Overflow Room.
Due to the fact that a group larger than 20 people isn’t very conducive to a RoundTable conversation, we suggest moving to Spotlight, Fireside Chat, Panel, or the Share Screen view when you have more than 20 people on your call. If you adjust your Stage Mode and exit the RoundTable format, you will be able to view all of your participants side by side rather than having them reside in the Overflow Room. The Overflow Room button will not be visible in the bottom left of the toolbar when you exit the RoundTable format. Recording
This last video shows you how to Record your session at the RoundTable. Participants of the call will be given a notice that you have started recording.
Note: You cannot record if people are in breakout rooms, and recording will stop once someone is sent to a breakout room.
Once you are finished recording, you can click the Record button again to stop recording. Recordings will be available after your call in the “Content Library” of your Offer; It may take up to several hours for the recording to be available in the content library. Once it is available in your Content Library, the Coach and Managers of the Offer can download it onto their device. Participants will not be able to download the recording, but will be able to view it in the Content Library of the Offer space.
